What do you do with your paperwork after it
has been scanned?
Our program keeps track of the date scanned.
Paperwork can be stored in a box by this date. It is
not necessary to file the paperwork. Only paperwork
where you might need to show an original signature
needs to be kept. The rest can be shredded or
discarded.
Medicare has updated the language in their Program
Integrity Manual to reflect a greater acceptance of
document imaging. Following is the excerpt from
Chapter 5 of the manual, explaining acceptable
documents:
5.2.3 - CMN as the Written Order
(Rev. 167, 10-27-06 )
When reviewing claims where the medical record
contains a copied, faxed or electronically
maintained CMN (any CMN created, modified, and
stored via electronic means such as commercially
available software packages and servers), the
DMERC and DMERC PSC must accept the copied,
faxed or electronic document as fulfilling the
requirements for these documents.
When a DMERC or DMERC PSC is investigating
potentially fraudulent behavior by a supplier,
it will be the supplier's responsibility to
prove the authenticity/validity of the claim(s)
under investigation. A DMERC or DMERC PSC may
require the supplier to prove the
authenticity/validity of the signature on the
CMN or order, or any other questionable portion
of the claim(s) under investigation.

Yes. Group and User permission rights can be
assigned for all users. Access can be general or as
specific as limiting certain document types a person
can view.

printed scanned document as clear as the original?
